Reports

The Reports screen is where the work your team does in QELM rolls up into the numbers that run the business: what you billed, what it cost, what you have collected, and how each job performed. This guide walks through how to read it, how to change the period you are looking at, and how to get the numbers out.

Everything on the screen is calculated for a single period. Pick one with the range options at the top:

  • This Week — the last 7 days.
  • This Month — the last 30 days.
  • This Year — the last 12 months.
  • Custom — any start and end date you choose.

These three are rolling windows ending today, not calendar periods. This Month on the 3rd of the month still covers a full 30 days, so it reaches back into last month — use Custom when you need a calendar month, quarter, or year exactly.

Pick Custom to set a Start date and an End date, then choose Apply range to recalculate the screen for exactly that window. Every section below — the totals, the cost breakdown, the invoice figures, and the job table — updates together to match the period you selected. The period is part of the page address, so you can bookmark or share a link and the recipient lands on the same view.

The top of the screen is a four-card summary of the period:

  • Revenue — what you invoiced in the period, with the invoiced amount shown beneath it.
  • Total Costs — your expenses plus labor for the period.
  • Net Profit — revenue minus costs, with the profit margin as a percentage beneath it.
  • Cash Collected — what you actually took in, with the amount still outstanding shown beneath it.

Read these four together to see the shape of the period at a glance: what you billed, what it cost, what you kept, and how much of it has actually landed in the bank.

The Cost Breakdown section splits Total Costs into where the money went:

  • Materials — job expenses.
  • Subcontractors — sub labor.
  • Labor — your team’s time entries.
  • Monthly Bills — recurring bills.
  • Fleet — fuel and maintenance.

This is the detail behind the single Total Costs figure up top — useful when a period’s costs look high and you want to know which category drove it.

The Outstanding Invoices section is the collections picture for the period:

  • Total Invoiced — everything you billed.
  • Collected — what has been paid.
  • Still Owed — the balance customers have not yet paid, with the number of open invoices and how much of that is overdue.

This is where you see who still owes you and how much of it is past due, so you know what to chase.

The Job Breakdown table is the per-job view for the period. Each row is one job, with its Client, its Status, and the money columns:

  • Revenue — what the job billed.
  • Expenses — materials and other job costs.
  • Labor — time logged against the job.
  • Profit — what the job earned.
  • Margin — profit as a percentage of revenue.
  • Owed — the balance still outstanding on the job.

Use the table to see which jobs are carrying the period and which are losing money. Archived jobs are marked so you can tell completed work from active work at a glance. A job name links through to that job.

Two actions at the top get the period’s figures out of QELM:

  • Export CSV — downloads the report as a CSV file you can open in a spreadsheet, for your own analysis or to send to your accountant.
  • Print view — opens a clean, printable version of the report that you can print on paper or save as a PDF.

Both use the exact period and figures currently on screen — set the range first, then export.

Reports only show data from your own workspace, and the figures reflect what your team has entered — jobs, time, expenses, and invoices. If a period looks empty or light, it usually means there is nothing recorded for that window yet; the numbers fill in as your team logs the work.
